The answer to a technical question is in a manual, a work instruction or an old project folder, and whoever needs it either searches through the file store or asks a colleague who is busy with something else. Hauke takes over the answering: he reads your documents in once and answers questions from them where your team already writes, with the source stated for every answer.

What Hauke takes on

  • Answers questions from the documents he has read in and names the exact passage for every answer.
  • Says that the documents do not cover it, instead of inventing an answer.
  • Covers technical documentation, manuals, guidelines and filed cases in a single lookup.
  • Answers in Teams or Discord, without anyone opening another program.
  • States the version that applies today rather than an older one, as far as the file store makes the versions clear.
  • Hands over to a person when a question calls for a judgement rather than a piece of information.

What Hauke needs from you

Hauke needs access to the file store holding the documents he is to answer from, and a channel where he can be reached. Plus someone to decide which folders belong in scope and which are deliberately left out.

The first few weeks

As soon as the first file store has been read in, Hauke answers questions from it, and access is all there is to set up. Over the first few weeks further file stores are added, and the questions he could not answer show you where your documentation has gaps.

What changes

  • Questions about the documentation no longer interrupt the colleagues who happen to know the answer.
  • Every answer comes with the passage it came from, so it stays possible to check what it rests on.
  • Where the documents give nothing, that becomes visible instead of disappearing into a guessed answer.
