Ilka Key Account Manager

Before a meeting with a key account, the sales team relies on memory and a few old emails, while order history, open matters and the last conversation sit scattered across CRM, mailbox and file storage. Ilka takes over the gathering: before every visit or call she brings these sources together into one picture, supplies the questions worth asking and names the source behind every statement.

What Ilka takes on

  • Puts together an up-to-date customer dossier from CRM, order history, email history and documents before every visit or call.
  • Names the source for every statement in the dossier, so what it rests on stays verifiable.
  • Drafts the meeting preparation with the open topics and the suggested questions.
  • Flags what has changed since the last contact and what the next sensible step is.
  • Also answers the quick question about a customer in between, without anyone searching through four systems.
  • Only reads. She changes nothing in the CRM, the mailbox or the file storage.

What Ilka needs from you

Ilka starts with CRM access and access to the mailbox used for customer communication. The customer file storage is added as soon as quotes, contracts and meeting notes should be part of the picture as well.

The first few weeks

From day one Ilka compiles the dossier and the meeting preparation from CRM and mailbox. Over the first few weeks the depth grows: the more conversation history builds up and the more file storage is connected, the more precise the suggested questions and the next step become for each customer.

What changes

  • Your sales team goes into the meeting with an up-to-date dossier, not with memory and loose notes.
  • What was discussed in the last conversation is not lost by the next meeting.
  • Changes at the customer get noticed, instead of only surfacing in the next chance conversation.
